With larger purchase volumes you can achieve better purchase conditions. You use this advantage when you switch from decentralized purchasing to central purchasing. The bundling of purchases also leads to lower process costs for your entire company.

Not all caterories are accessible to a joint, centralized purchase. In addition to central purchasing, decentralized purchasing centers (such as factories, regional purchasing departments, etc.) are able to meet their individual local requirements better as they are better acquainted with the local procurement markets and specifications of these goods. Bundling effects through purchasing via the head office are unlikely for these products.

Another user of centralized purchasing represent the purchasing associations, which buy the joint purchasing portfolios of the members through the association center and offer the members additional cooperation advantages.

The central project manager defines the goods of the central purchasing project and sends the demand query electronically to the decentralized purchasing departments involved. They are to indicate the planned goods requirements for the next period. In addition to the quantities, the last purchase prices of the decentralized departments are also queried.

The reported requirements of the decentralized departments are automatically consolidated to the total requirements. Everything online “at the touch of a button”, without paper forms or Excels sheets.


With the consolidated total quantities and the selected suppliers, the central buyer starts an invitation to tender as described in the Promitea RFQ module.
In this case, not only the consolidated total quantities are used, but also quantity scaled prices.

The submitted bids are automatically evaluated and the best bids per quantity scale are determined.


The results from the RFQ are communicated electronically to the decentralized departments. They are requested to provide their binding orders.

Depending on the time required, the decentralized departments call off their individual deliveries by themselves.


For the total requirement of the consolidated binding orders, the central purchaser is free to add an electronic auction with the suppliers of the narrow choice. This usually leads to further improvements in purchasing conditions.
